Our customer was an education provider based in Victoria who had a very time-consuming data transformation process. This process involved staff performing typical data transformation activities in Excel, as well as important user-validation steps along the process. The outputs of the process were given to external stakeholders, so the outputs had to be accurate and timely.
The solution had to perform the data transformation steps within Excel both quickly and with precise accuracy for a staff member to quickly review. With this in mind, this process was a good candidate for automation, as it was a very standard process that could be easily automated and would guarantee that no errors occurred in the process.
After consulting with the business, we designed a data transformation attended automation whereby an Excel file could be opened, transformed, user-validated and output into a results file. As an attended automation, the process was performed under the complete supervision of a staff member, guaranteeing that the process results were always correct.
This automation encompassed a variety of typical transformations in Excel, such as filtering, sorting, vlookups, grouping and Pivot tables. At certain points, the automation was set to acquire user input to validate that process was tracking accurately. This design made the process more efficient by letting the robot do the transformation work, and the staff member do the logical work.
The solution aim was to replicate the existing data transformation process outcomes via an efficient automation. Our data transformation attended automation achieved this with the combined speed and accuracy of a robot, and the critical thinking of a human. The robot would open the Excel file, begin performing the transformations before prompting the user to validate the interim results. Once the user had confirmed the interim results, the robot would continue processing and output the manipulated data into a new report.
By automating this process, the business was able to automate their data transformation process without disrupting existing business systems and guaranteeing process quality. Data transformation outputs were processed in less than 10 minutes (down from 1 hour manually) and without any human errors. This resulted in more efficient and accurate outputs, which was beneficial for stakeholders and risk purposes, but also freed up staff to focus on more valuable tasks.
